How to: Build a Space Governance Report

A step-by-step workflow for building a governance-focused content audit report - covering stale pages, orphaned content, contributors, and restrictions. Each step links to the relevant reference documentation.

Step 1 - Open the Macro Editor

  1. Open or create a Confluence page in edit mode
  2. Type / → search Reports → click the macro to insert it
  3. The macro editor opens with Header, Left Panel, Center Panel, and Right Panel

Step 2 - Set Data Source

In the Header, set Data Source to Custom CQL and enter:

space = "YOUR_SPACE_KEY" AND type = page

Replace YOUR_SPACE_KEY with your actual space key (visible in the URL: /wiki/spaces/KEY/...).

Set Result Limit to 200 initially.

Step 3 - Load Expansions

In the Left Panel, check these expansion groups:

  • version - gets last modified date and author
  • metadata - gets labels and restrictions
  • history - gets contributor data

Step 4 - Configure Columns

In the Right Panel → Columns tab, click + Add New Column for each:

Columns & Filters

Step 5 - Apply Stale Content Filter

In the Center Panel → Filter section, click + Add filter:

  • Operator: Less than
  • Property: Last Modified date
  • Value: now("-90d")

This filters to pages not updated in the last 90 days.

Step 6 - Switch to Chart View for Summary

In the Header, change Report Type to Charts:

  • Chart Type: Bar
  • Group By: Last Author (shows who owns stale content)
  • Metric: Count

This surfaces which owners have the most stale pages.

Step 7 - Export and Share

  1. Set Report Type back to Table
  2. Set Result Limit to 1000 for a full export
  3. Click ExportCSV in the Center Panel
  4. Open in Excel or Google Sheets - sort by Last Modified to identify oldest pages

Step 8 - Save the Report

Click Save in the Header. Publish the Confluence page. The report updates live each time the page is viewed - no manual refresh needed.

Tip: Use the Import tab to copy the JSON recipe and recreate this report in other spaces by pasting it.
